DATA PROTECTION

We keep to the Data Protection Act 1998.

We comply with GDPR Regulations. This means that we only hold your data for the purposes of:

  • Keeping a membership register and a register of who is using our facilities at a given point in time, which must allow you to be identified as an individual for the purposes of ensuring you are using the facilities in line with your category of membership, and also in case of any accidents or incidents at the club where we may need to contact you or your next of kin.
  • Providing access to the club IT infrastructure such as communicating with you; giving advance warning of any closure to facilities such as the swimming pool or tennis dome, giving you access to leagues and club competitions; as well as other activities or facilities that we may introduce from time to time.

We will pass your information for ClubNet and MailChimp, which are necessary platforms to enable you to book courts using the online booking system and to allow us to communicate with you,

We will pass your information on to 3rd parties including league management software for squash internal leagues, Suffolk Squash, Essex Squash and England Squash, the Lawn Tennis Association, Colchester & District Tennis and any other leagues we or competitive governing bodies require for the purposes of allowing you to compete in local and national competitions. This information is only passed on for members who have chosen to enter these competitions as part of a Lexden team or as a Lexden member, and as such passing on this data is necessary.

We will provide facility to sign up for club competitions including signup sheets displayed in the club. We will only ask for details required for you to participate in the specific competition or event, however if you choose to sign up for a club competition, or compete in any other competition where the results are already in the public domain, then we may celebrate any achievements as part of any club communications.

This data is critical for your membership and as such we cannot accept your membership application if you are unwilling to provide us with this data.

We will complete regular (annual) data purges to remove any data that we no longer require, however we may keep your contact details so that we can keep in touch with you once you have left us. You have the right to have this data removed once your membership has expired.

If you want to know what information we hold about you, or you want us to correct any information we hold about you, please contact the club manager.

If you leave the club and you want the “right to be forgotten” you need to contact and inform the club via email.
